Refunds and Cancellations
Summary
Section titled “Summary”This page explains the general refund approach for students attending YWAM Sendai schools. Refund outcomes may depend on the stage of the school, the type of cost involved, and whether expenses have already been committed.
If a student needs to withdraw, cancel, or leave early, they should communicate with YWAM Sendai as soon as possible.
General principle
Section titled “General principle”In general, some school-related payments may be refundable in full or in part, while others may not be refundable once they have been paid or committed.
Refunds depend on:
- the type of payment
- the stage of the school
- whether costs have already been paid on the student’s behalf
- whether any third-party fees or non-refundable expenses apply
DTS Lecture Phase and DBS
Section titled “DTS Lecture Phase and DBS”For the DTS lecture phase and for DBS:
- tuition fees are generally non-refundable once paid
- exceptions may be discussed depending on the circumstances
- accommodation may be refunded on a pro-rated weekly basis where applicable
Outreach Phase
Section titled “Outreach Phase”Refunds during the outreach phase depend on timing and on which expenses have already been committed.
If a student withdraws before outreach begins
Section titled “If a student withdraws before outreach begins”The outreach amount may be refunded, less:
- any airline cancellation fee
- any outreach expenses already paid or committed
If a student withdraws during outreach
Section titled “If a student withdraws during outreach”A refund may be calculated based on the remaining period, less any non-refundable or already committed costs.
This may include:
- pro-rated accommodation by week
- pro-rated meals by week
- airline adjustment costs
- ticket change fees
- other non-refundable expenses already incurred
Why refunds may be limited
Section titled “Why refunds may be limited”Some school and outreach costs are paid in advance or become non-refundable once bookings, travel, accommodation, or other arrangements have been made.
For this reason, a refund may be partial rather than full, even if a student does not complete the full program.
What should a student do if they need to withdraw or cancel?
Section titled “What should a student do if they need to withdraw or cancel?”If a student needs to withdraw, cancel, or discuss a possible refund, they should contact YWAM Sendai as early as possible.
Early communication is important because it may affect:
- airline costs
- accommodation commitments
- outreach planning
- the amount that may still be refundable
Important note
Section titled “Important note”Refund decisions may require case-by-case review depending on the circumstances and the costs already incurred.
