Staff Visa Application (CoE)
Summary
Section titled “Summary”For many long-term staff, the visa process begins with preparation for a Certificate of Eligibility (CoE) application in Japan, followed by a visa application at a Japanese embassy or consulate.
This page explains the usual process and the kinds of documents that may be required. Exact requirements may vary by case.
When does the CoE process begin?
Section titled “When does the CoE process begin?”The CoE process begins only after the person has been accepted through the staff onboarding process and has reached the required level of financial readiness.
YWAM Sendai does not normally move forward with visa-related processing before these conditions are in place.
How long does the CoE process usually take?
Section titled “How long does the CoE process usually take?”Processing times can vary, but staff should expect the CoE process to take time and should plan conservatively.
YWAM Sendai may provide a typical timeline during onboarding, but staff should not assume that approval will happen quickly or on a guaranteed schedule.
Should flights be booked before visa approval?
Section titled “Should flights be booked before visa approval?”No. Staff should not book non-refundable flights or make irreversible travel commitments before the necessary visa approval is in place.

Staff should pay attention to:
- passport name consistency across documents
- photo size and recency requirements (4cm x 3cm, plain background, clear, front-facing, no hat, taken within 6 months)
- scan quality
- complete and legible files
- prompt response if additional documents are requested
Delays often happen when documents are incomplete, inconsistent, or unclear.
What happens after the CoE is issued?
Section titled “What happens after the CoE is issued?”After the CoE is issued, the staff applicant normally uses it to apply for the appropriate visa through a Japanese embassy or consulate.
YWAM Sendai may provide guidance on the next step, but the applicant remains responsible for completing the embassy or consular process required in their location.
Is entry timing important after CoE issuance?
Section titled “Is entry timing important after CoE issuance?”Yes. Staff should pay close attention to any validity period connected to the CoE or visa process and should follow the instructions given at that stage.
They should not assume that approval can be left unused indefinitely.
