Staff Visa Renewal and Extension

Long-term staff already living in Japan may need to renew or extend their visa status before their current period of stay expires.

This page explains the usual renewal process and the kinds of documents that may be required. Exact requirements may vary by case.

Renewal planning should begin well before the current period of stay expires.

YWAM Sendai may provide a recommended timeframe for beginning the process, but staff should not wait until the last minute. Delays in preparation can create unnecessary risk and stress.

The usual renewal process may include:

  1. informing YWAM Sendai that renewal is needed
  2. confirming current residence and visa details
  3. gathering the required documents
  4. receiving any supporting paperwork needed from YWAM Sendai or related bodies
  5. submitting the renewal application to immigration
  6. completing any follow-up steps required by immigration
  7. receiving the renewed status or updated residence documentation

YWAM Sendai may provide practical help with supporting documents, but the staff member remains responsible for completing the process.

What documents are commonly required for renewal?

Section titled “What documents are commonly required for renewal?”

The required documents may vary, but commonly requested items include:

  • passport copy
  • residence card copy
  • recent portrait photo in the required format
  • renewal application forms
  • tax-related certificates where required
  • updated supporting letter from the sending church or organization

YWAM Sendai may request additional documents depending on the case or on immigration requirements.

What supporting letters may be required for renewal?

Section titled “What supporting letters may be required for renewal?”

A continuation of dispatch letter from the sending church, mission agency, denomination, or other sending religious organization may be required for renewal or extension.

This letter should normally:

  • be on official letterhead
  • be signed by an authorized representative
  • confirm that the staff member remains recognized and endorsed
  • confirm that the assignment in Japan is continuing
  • describe the ongoing religious nature of the work
  • confirm continued financial support

YWAM Sendai may provide a template or approved wording for this document.

See Staff Visa Document Templates.

Why do tax and administrative records matter for renewal?

Section titled “Why do tax and administrative records matter for renewal?”

Visa renewal may involve documents connected to tax or local administrative compliance.

For this reason, staff should take tax filing, resident tax, insurance, pension, and recordkeeping seriously throughout their time in Japan rather than waiting until renewal is approaching.

There may be government fees or other administrative costs connected to renewal.

Staff should follow the current instructions provided at the time of renewal rather than relying on outdated figures.

What if a staff member is close to expiry?

Section titled “What if a staff member is close to expiry?”

A staff member who is approaching visa expiry should act immediately and inform YWAM Sendai without delay.

Visa renewal should never be treated casually. Staff are responsible for maintaining lawful status in Japan.
