Payment Notification

After sending a payment to YWAM Sendai, you should send a payment notification so the finance team can identify and record the transfer correctly. This is especially important when the sender’s name, transfer method, or payment purpose may not be immediately obvious from the transaction record.

Payment notification helps prevent confusion, delays, and misapplied payments.

Send payment notification after making any payment that requires confirmation or manual identification.

This is especially important when:

  • the payment was sent by bank transfer
  • the sender’s name may appear differently on the transfer
  • the payment is for a specific school fee, deposit, donation, or staff-related purpose
  • YWAM Sendai has asked you to confirm the transfer after sending it

If you are unsure whether notification is needed, it is better to send it or ask than to assume it is unnecessary.

What information should payment notification include?

Section titled “What information should payment notification include?”

Payment notification should usually include:

  • the sender’s full name
  • the date of payment
  • the amount sent
  • the payment method used
  • the purpose of the payment
  • any relevant school, role, or invoice reference

If the payment was sent on behalf of someone else, include both the sender’s name and the name of the person the payment is for.

Payment notification is important because transfer records do not always clearly show:

  • who sent the payment
  • what the payment is for
  • whether the amount matches the expected payment
  • whether the payment belongs to a student, staff member, donor, or another purpose

A short notification helps YWAM Sendai process payments more accurately and quickly.
