Student Pre-Arrival Preparation

After acceptance to a YWAM Sendai school, students need to prepare carefully for arrival in Japan. Pre-arrival preparation includes finances, travel planning, required documents, communication, packing, and practical readiness for community life.

This page gives a general overview of what students should prepare before arrival. Exact instructions may vary by school and intake.

This page is for accepted students preparing to join a YWAM Sendai school.

It is not the admissions page and does not explain how to apply. It explains what to prepare after acceptance.

What should students prepare before arrival?

Section titled “What should students prepare before arrival?”

Accepted students should prepare for:

  • school payments and deadlines
  • passport and travel documents
  • visa-related requirements where applicable
  • flights and arrival timing
  • health and insurance preparation
  • packing for life in Japan
  • communication with YWAM Sendai before arrival
  • practical readiness for community life

Students should make sure they understand:

  • the total school cost
  • any deposit or payment deadlines
  • which payments must be made before arrival
  • which payments may need to be made in Japan
  • what payment methods are available
  • whether some costs must be paid in Japanese yen cash

Students should not assume that all costs can be handled after arrival.

For more detail, see:

Students should make sure they have the required travel documents for their situation.

This includes:

  • a passport that is valid for at least 6 months after the school’s departure date
  • any visa-related documents required for their nationality or travel situation
  • flight information
  • any arrival information requested by YWAM Sendai

Students are responsible for checking the requirements that apply to their nationality and travel situation.

Visa requirements depend on nationality, passport type, length of stay, and the nature of the program.

Students should:

  • follow the visa guidance provided by YWAM Sendai staff
  • make sure they understand which visa process applies to them
  • prepare any required documents early
  • avoid assuming that another student’s visa situation will be the same as their own

If visa-related preparation is needed, students should begin as early as possible.

What should students know about flights and arrival?

Section titled “What should students know about flights and arrival?”

Students should follow any school-specific guidance about arrival timing and airport plans.

This includes:

  • aiming to arrive on the designated arrival date
  • sending flight itinerary details to YWAM Sendai staff
  • communicating clearly about delays or travel changes
  • checking the latest arrival instructions shortly before departure or landing

Clear communication helps prevent confusion and makes arrival coordination much easier.

Students should prepare responsibly for health needs before arrival.

This includes:

  • arranging travel or health insurance that covers medical care in Japan
  • bringing necessary medication
  • preparing for dietary or medical needs
  • communicating important health information to YWAM Sendai where appropriate

Students should not arrive without thinking through basic health and insurance needs.

Should students think about immunizations?

Section titled “Should students think about immunizations?”

Yes. Students should make sure their routine immunizations are up to date before arrival.

This may include standard vaccinations such as:

  • MMR
  • polio
  • other routine immunizations appropriate to their situation

These are not generally presented here as legal entry requirements for Japan, but they are a wise part of health stewardship in a communal living environment.

Students should pack for:

  • study and school participation
  • community life
  • seasonal weather in Japan
  • church and ministry settings
  • personal daily needs
  • possible outreach travel where applicable

Students should aim to pack simply and stay mobile, especially if the school includes outreach travel.

As a general guideline, students should limit themselves to:

  • one primary piece of luggage, such as a hiking backpack or medium suitcase
  • one small daypack for daily use

Useful items may include:

  • a physical Bible
  • clothing suitable for the season in Sendai
  • a small daypack for lectures and daily use
  • a foldable umbrella
  • a travel mug
  • a sleeping bag, especially if required for outreach
  • small gifts or snacks from your home country, if you would like to share hospitality with others

Exact packing guidance may vary by school, season, and housing arrangement. Students should avoid overpacking, but they should also come prepared for practical daily life.

Why is communication before arrival important?

Section titled “Why is communication before arrival important?”

Clear communication before arrival helps prevent confusion and last-minute problems.

Students may need to communicate with YWAM Sendai about:

  • arrival date and time
  • flight details
  • delays or travel changes
  • payment status
  • health concerns
  • questions about what to bring

YWAM Sendai uses Discord for pre-arrival updates, coordination, and arrival information.

Students should check Discord regularly before travel and again within 24 hours before landing in Japan in case there are updated arrival instructions.

What kind of readiness matters beyond logistics?

Section titled “What kind of readiness matters beyond logistics?”

Pre-arrival preparation is not only practical. Students should also prepare spiritually, relationally, and mentally for life in a cross-cultural Christian community.

This includes readiness for:

  • shared life
  • learning and discipleship
  • flexibility
  • humility
  • cultural adjustment
  • participation in community expectations
Section titled “Are there any other recommended preparations?”

Depending on the school, students may also be asked to:

  • complete assigned pre-arrival reading
  • review school-specific instructions carefully
  • refresh basic Japanese phrases before arrival

These may not apply in exactly the same way to every school or intake, so students should follow the guidance they receive for their specific program.
